Office Coordinator

The Cooper-Young Community Association (CYCA) is seeking a part-time office coordinator to manage the association’s daily operations, including office management, bookkeeping and some event planning. This person must be comfortable working in an unstructured environment, must be a motivated self-starter and must be passionate about the Cooper-Young neighborhood.

This position will generally consist of 15-20 hours per week but with the probability of more hours in September and October, around the CYCA’s main fundraising events, the Friday Festival 4 Miler and the Cooper-Young Beerfest.

Preference will be given to residents of Cooper-Young.

Responsibilities

Manage daily financial operations of the CYCA. This includes but is not limited to paying bills, reimbursements and invoices, keeping electronic copies of all financial documents and receipts, making weekly bank deposits, accurately reconciling expenses in QuickBooks, managing and processing memberships, and providing quotes and multiple bids on items and services as needed. 

Maintain a clean and organized office. This includes but is not limited to cleaning the bathroom and kitchen, vacuuming and mopping the floors as needed, wiping down surfaces, organizing event and office supplies, taking out the garbage, maintaining outside garbage cans, organizing and maintaining inventory of merchandise, cleaning before and following all office meetings, keeping supplies stocked (pens, paper, cleaning supplies, trash bags, event supplies, etc.). 

Manage all operations of the office, including but not limited to city services (MLGW), building keys and alarm codes, parking lot and office cleanliness, phone and internet service, building updates, maintenance and repairs, daily mail; and serving as the de facto landlord for tenant questions and the “rental” resource for board and community members to borrow the office. 

Manage operations and supplies for CYCA events and projects. This includes but is not limited to managing the Barksdale and McLean murals for touch ups and graffiti removal; managing the Cooper trestle art for annual structural inspections and repairs; rearranging furniture, setting up, providing refreshments for and breaking down monthly community meetings.

Serve as an event planning and staffing resource. This includes but is not limited to working with event organizers to develop check lists of supplies needed, gather supplies needed and arrange for transportation of supplies needed for community events including but not limited to the 4th of July Parade, Volunteer Appreciation Party, Christmas Eve gift bags, Beerfest, 4 Miler, Festival Booth and other one-off events. Document processes and lists.

Provide the CYCA board with background information, answers to questions, budget recommendations, process documentation as needed via meetings, Slack and email and responding in a timely manner to emails, texts and phone calls as needed from board members.

Qualifications

  • Associate’s degree in business operations or similar
  • Minimum of two years working in a professional environment
  • Proven ability to work independently while staying organized, reporting regular updates and maintaining a positive, professional attitude
  • Ability to work some nights and weekends
  • Ability to work effectively in collaboration with diverse groups of people

Preferred Qualifications

  • Experience working with a volunteer board
  • Experience managing billing/financial reporting & QuickBooks
  • Familiarity of the Cooper-Young neighborhood
  • Experience in event planning
  • Proficiency in data processing applications (Microsoft Word, Excel, Powerpoint and Google Suite). Able to learn various database programs used for membership & events.

Physical Considerations

  • Light work requiring the exertion of up to 30 pounds of force occasionally, up to 20 pounds of force frequently, and a negligible amount of force constantly to move objects. 
  • Work requires climbing, balancing, stooping, reaching, standing, walking and manual dexterity. 
  • Vocal communication is required for expressing or exchanging ideas. 
  • Hearing is required to perceive information at normal spoken word levels. 
  • Visual acuity is required for preparing and analyzing written or computer data, operation of motor vehicles or equipment, determining the accuracy and thoroughness of work, and observing general surroundings and activities. 
  • The worker is subject to inside and outside environmental conditions.
